Position Overview:  

Reporting to the Vice President for Academic Affairs, the Registrar directs all facets of the operations of the Registrar’s office and is responsible for maintaining the integrity and confidentiality of academic records; scheduling courses; managing student records and registration database system; developing, implementing and interpreting University academic policies;; monitoring and verifying degree completion; overseeing transcript processing and enrollment verification; producing and disseminating institutional, state, and federal enrollment data and reports; maintaining FERPA and other relevant laws compliance; planning and developing strategies for the maintenance and upgrading of the academic information infrastructure.  The Registrar also serves on a variety of campus committees. 

Essential job functions:  
  • Academic Records
Develop and maintain systems to ensure the accurate collection, processing, reporting and retention of academic records and transcripts. Implement procedures for records and registration management to ensure integrity of data and records. 
  • Academic Policies
Collaborate with Faculty and administration to plan, design, and implement University academic policies. Provide information about and interpretation of policies for students, Faculty, staff, and other interested parties.   Administer policies regarding academic probation, disqualification, degree completion, transfer credit, course and grade management. 
  • Reporting
Prepare and publish enrollment statistics; collect course, grade distribution, and faculty load data; provide academic and student data for institutional research and retention initiatives; prepare and submit state and federal reports.
  • Course Management
Collaborate with department and program chairs to coordinate schedule of classes. Review Faculty load; recommend class additions or cancellations. Develop and manage course registration procedures and related information. Construct appropriate databases as needed, manage, and retrieve information to support institutional decision making.  Coordinate January and Consortium Exchange programs.
  • Program Management
Maintain accurate program information in the university’s academic information system ensuring faculty and student ability to monitor academic progress, assess pathways to degree completion.  Track, and update program changes in the academic information system.  Document and communicate pathways through course pre-requisites, certification, and/or curriculum/graduation requirements
  • Leadership and Supervision
Provide direction and counsel in the oversight of current policies and the development of new initiatives related to enrollment and retention, integrity of the academic program, and information technology management.   Hire, train, and supervise two full-time staff and part-time student employees. Establish and implement department goals, objectives, policies, and operating procedures.  Monitor and evaluate program effectiveness, and make changes required to improve services and function.  Examine and re-imagine operations and procedures, formulate policy, and develop and implement new strategies and procedures to improve delivery of service.  Utilize knowledge of organizational structure, workflow, and operating procedures to foster a cooperative and collaborative work environment.  Supervise and train employees, including organizing, prioritizing, and scheduling work assignments.  Provide assistance to diverse constituencies including students, faculty, staff, administration, student’s families, and outside agency officials.
  • Compliance
Advise others regarding academic policies, FERPA, and other state and federal government regulations including knowledge of student registration, academic and residency requirements, including NCAA rules and certification of student-athlete eligibility, laws, rules, and regulations regarding student records administration and registration processes and regulations regarding student records including retention and destruction policies and procedures. Ensures all applicable and confidentiality regulations are implemented and followed by the University.  Assure department-wide commitment to the accuracy and integrity of records and information.
  • Committees
Serve on the Undergraduate Curriculum Committee, Academic Policies Committee, Teacher Education Committee, and other committees as assigned.
  • Communication
Collaborate on the development and publication of major university documents including but not limited to university catalogs and class schedules. Create, compose and edit written materials. Investigate and analyze information to draw conclusions and inform policy and process recommendations. Use independent judgment and to manage and impart information to a range of constituents.

Qualifications:  
  1. Master’s Degree
  2. Minimum of five years experience in higher education in a progressively responsible position in registrar’s or related office.

  5. Knowledge and understanding of FERPA and other applicable laws, and other matters of confidentiality.
  6. Knowledge of customer service standards and procedures

Work schedule:  This is a full-time position, with a minimum regular schedule of 8 a.m. to 5 p.m., Monday through Friday.  Additional hours often required.
